Overview

What is Microsoft Universal Print?

Managing print shouldn’t add complexity to your cloud strategy. Microsoft Universal Print helps organisations move print management into the cloud, reducing the need for traditional print servers and making it easier for IT teams to support a more flexible, secure workplace. For organisations already using Microsoft 365, it brings print into the same connected environment as the rest of the digital workplace.

IT teams can configure, manage and troubleshoot printers centrally, while users can easily find, add and print to approved devices using a familiar Windows experience. With compatible Ricoh devices, you can choose to use the Microsoft Universal Print driver for consistent printing across mixed printer fleets or the RICOH Print Support App for access to enhanced Ricoh print features where supported. We make it easier to modernise print, simplify administration and give users a smoother experience.

FAQ

Frequently Asked Questions

Answering frequently asked questions around Microsoft Universal Print App

Who is the Microsoft Universal Print App for?

It is designed for organisations using Microsoft 365 that want to simplify print management and reduce reliance on traditional on-premises print servers.

What is the RICOH Print Support App and why do I need it?

The standard Microsoft Universal Print driver is designed to work across all vendors printers, and will deliver what most people need from printing, but lacks some features users will be used to. The RICOH Support App is designed to enhance the print experience when using Ricoh devices with Microsoft Universal Print, giving users access to a better set of printing options where supported. It is available to download from the Microsoft Store and deployed via Intune. It is kept updated through Windows Update.

Does it replace print servers?

Microsoft Universal Print is designed to reduce or remove the need for traditional Windows print servers by moving print management into the cloud. Microsoft offer on-premise agents to manage unsupported printers, but this isn’t necessary with the RICOH App for Universal Print and compatible Ricoh devices. The best approach will depend on your existing print environment and device estate.

Do users need printer drivers?

Universal Print is designed to reduce the need for device-specific printer driver installation, helping users access approved printers more easily. Instead, users and admin teams can benefit from driverless printing using IPP or print support apps.

Where can the app be downloaded and how much does it cost?

The app is available through the Ricoh application marketplace for compatible Ricoh Smart Operation Panel devices, and it is free of charge to download, install and use. The Microsoft Universal Print service availability depends on the customer’s eligible Microsoft licensing and configuration. Additional costs may apply if support or professional services are required from Ricoh.

How does Microsoft Universal Print improve print security?

By reducing reliance on traditional print servers and leveraging Microsoft Entra ID authentication, Microsoft Universal Print helps organisations simplify print security management and support modern identity-based access controls. This zero-trust approach supports NIS2 and Cyber Resilience Act related initiatives.
