E-invoice management with Ricoh

OKV (Ostdeutsche Kommunalversicherung auf Gegenseitigkeit) provides specialist insurance services for municipalities, local authorities, and companies in Berlin, Saxony, Brandenburg, Thuringia, Saxony-Anhalt and Mecklenburg-Western Pomerania. The company has an extensive portfolio of offerings, including insurance against forest fires, damage to buildings, theft, and more. 

Challenge: 

Every November, OKV issues around 50,000 annual invoices to clients, each typically consisting of multiple pages. Previously, four employees would spend four weeks printing, enveloping, and dispatching paper invoices manually—a slow, labour-intensive process. Increasingly, clients wanted to receive electronic invoices, such as the XRechnung format, enabling seamless data exchange with their ERP systems.

Solution & Benefits:

Using the Ricoh IDX portal, OKV can now send invoices in the format that suits its clients. Within the portal, clients can select from more than 400 electronic data formats, including PDF, ZUGFeRD, and XRechnung, and various delivery modes, such as SFTP, email, and regular mail for those that prefer paper copies. The streamlined model helps to reduce manual effort, printing and paper costs, and environmental impact.
