Driving Inclusivity and Productivity with AI-powered Hybrid Working
Hybrid working promises employees greater flexibility and fulfilment, and forms one of the key components in the modern workplace experience. In fact, many employees now spend as much as one whole day every week attending hybrid working sessions, logging in remotely or from the office.
However, Microsoft and Ricoh’s research suggests that most meeting rooms do not offer employees the tools they need to ensure effective collaboration. For example,
- only 15% of meeting rooms globally feature video equipment, limiting inclusivity and equality between remote and on-site participants, and making it more difficult to work productively during calls.¹
- 30% of organisations admit that their technology, such as collaboration software and hardware, not being up to industrial standards, which is making it hard for employees to do their day-to-day jobs, was a top three reason why employee productivity is impacted at their company.²
Ultimately, this can damage employee satisfaction and create a higher risk of turnover. Creating people-first meeting rooms is therefore more important than ever to drive organisational success.
That’s why Microsoft and Ricoh have collaborated on a new guide to hybrid working. In the guide, we take you through the best practices and the best-in-class collaboration technologies that will help to deliver dynamic, equitable, and efficient hybrid meetings for all participants.
AI to improve the meeting experience
One of our main recommendations is to bring AI innovation into the meeting room to improve the user experience before, during, and after calls.
Leveraging AI-powered IoT sensors in meeting rooms can significantly enhance the user experience, creating smarter and more responsive workspaces. By implementing advanced sensor technology, you gain access to detailed, real-time data, seamlessly integrated into your workspace analytics. This data provides essential insights into how meeting rooms and other spaces are truly being utilized, including people count, room occupancy, and usage patterns.
The cornerstone of this approach is the Microsoft Teams Rooms platform, which enables seamless, video-enabled meetings, with a range of AI-powered enhancements. For example, during a meeting, you can use the Copilot personal assistant to generate speaker notes in real time, identify follow-up actions, and create catch-up notes so that late joiners can contribute to the session. After the call, the intelligent recap feature in Copilot can rapidly create a summary of the discussion, so there’s no need for users to spend time reading through the entire transcript to find specific information.
There are many other intelligent capabilities in Microsoft Teams Rooms that break down the barriers between remote and in-room participants. And as a certified Microsoft partner, Ricoh can help you to design, implement, and support seamless collaboration spaces, on any scale, anywhere in the world.
