Dalkia saves €200,000 a year with Ricoh’s i-invoicing solution

London, 31 October 2012, Dalkia, Europe’s leading energy service provider, will save €200,000 every year with Ricoh’s invoicing solution (i-Invoicing). The company, which manages more than 100,000 energy facilities on behalf of its clients, will use the solution to transform its accounts payable department to meet the huge increase in the volume of supplier invoices.

Previously, manual processing of supplier invoices was stretching the company’s internal resources. The recording of invoice data, filing, copying and receipt acknowledgement process took an average of five minutes per invoice. With over 10,000 invoices to processes, the company was spending around 800 man-hours every month, which was the equivalent of 3.5 full-time employees.

Dalkia’s challenge of managing increasing volumes of information from multiple sources is identified as a major problem for European businesses in recent Ricoh research conducted by Coleman Parkes Research. The study revealed that 91 per cent of European businesses cited increasing amounts of data as having the most impact on the way they managed their business processes. 17 per cent of respondents said they felt unprepared to ensure their processes were environmentally sustainable, while 15 per cent said they felt unprepared to ensure access to documents could be audited.

“We needed a solution that could efficiently manage our business critical document processes, save money, reduce emissions and free up manpower. We selected Ricoh’s i-Invoicing managed service which provided us with a tailored processing for all supplier invoices, presenting essential information in an easily managed electronic format,” said Xavier Morros, SSC Director, Dalkia.

“Implementing i-Invoicing with Ricoh required no capital investment. With Ricoh able to flex its existing facilities to accommodate our business, we only pay for the services that we use. An added benefit for Dalkia is that the solution is fully scalable, so as the business grows and supplier invoice volumes increase, Ricoh can absorb the growth without Dalkia needing to increase headcount. The archive is readily accessible – via Ricoh’s i-Invoicing cloud – and securely backed up, ensuring business continuity.
